There are two approaches to process the pay. Timed Basic Approach : Here the Basic Pay of an employee is paid according to the actual number of hours, days or units of work shown on the employee’s timesheet. If the employee has Holiday Pay, Overtime Pay, Tax Credit and/or Statutory Payments etc, these items are paid in addition to the Timed Basic Pay. Full Basic Approach : Here the Basic Pay of an employee is always shown in full and any unpaid absences are deducted from this amount as appropriate. You can process your employees' pay using either approach. Select, the Pay Frequency from the PayRun drop down menu. The employees are then listed according to the Pay Frequency you selected. Select the appropriate Pay Period to be processed. The default Processing Date will always be determined by the current calendar date. Last YTD refers to the last tax week / month in which you process and updated the employee’s Year To Date values. Click to select the employee(s) whose pay needs calculating. In the Basic pay section, enter the number of hours the employee has actually worked during the specified pay frequency and the hourly rate of pay the employee is entitled to receive. Further enter the overtime payment if the employee has done work in addition to their regular working hours.Other Payment refers to any extra payments made to employees in addition to Basic pay e.g. Commission, Holiday Pay, Tax Credits, Statutory Payments etc. Enter these details by clicking on the Enter link. Similarly enter the deduction and pension details by clicking on the Deduction and Pension link. After you enter the details, click on the Save Data and Process Pay button. Your pay data will be saved and the wages calculated. You can view a summary by clicking on the View Pay Summary link. To edit the data, click on the Amend Pay data link. Once you are done with the pay data click on the Continue button. If appropriate enter a message to appear on the payslip and approve the pay data and further click on the Update YTD button. Please note that all your employees Year To Date (YTD) data will be updated. You cannot edit the pay details once you update the YTD. However we do provide a contingency rollback function which allows you to roll back the YTD data should you later find that the data you committed contains an error. This function is situated in the Others module of the Tasking Zone. We recommend that you only use the rollback function as a last resort. |
